Job title - Communication Assistant

Location –Brussels (office based min 3 days/week) and remote

Company - RURANET geie, a consortium operating the project CAP Implementation Contact Point, part of the EU CAP Network.

About us - As an integral part of the EU CAP Network, the CAP Implementation Contact Point (CAPI CP) supports and coordinates networking activities relating to the design and implementation of the CAP’s strategic plans. 

We do this by connecting people and encouraging colleagues from across Europe to learn from one another and to exchange their experiences and their inspirations. We help develop knowledge by providing a platform for networking and by engaging with people at the local, national and European level. We share the outcomes of our work with a broad audience through a mixture of different communication products and channels.

As part of our annual work programme the CAPI CP delivers on average 25 thematic meetings and events per year with numbers of participants ranging from 40 – 200. The CAPI CP is responsible for the design and delivery of the content of these events and works collaboratively with an external support team who are responsible for Communications & Logistics..

Overview of the role – We are looking for a motivated person with excellent organisational skills and a high attention to detail to fulfil the role of Communications Assistant within our small and highly enthusiastic team.

As this role will involve interaction with people of many levels on a day-to-day basis, the successful candidate will be a clear and accurate communicator both orally and in writing.

A key function of the Communications Assistant role will be to ensure the joined-up delivery of the more organisational aspects of our events. This will be achieved by liaising both internally within the CP Team, and externally with the Communications & Logistics Team.

Processes are important in this role in part due to the multiple actors involved in organising our events. We have a number of existing processes in place and are continually looking to improve them. This is an area where we would involve the Communications Assistant and where the role can add real value to the project. The ability to multi-task and manage multiple overlapping deadlines is essential, however as part of a team there will always be support in times of high activity.

A background or interest in event organisational or communications activities would be very advantageous, although this role does not entail event organisation as such.

Key responsibilities – The Communications Assistant will:

  • Liaise internally with colleagues developing the conceptual and content aspects of our events to collect and address communications needs, under the supervision of the Communications Coordinator;
  • Liaise with the external Communications and Logistical support team about our events;
  • Act as a bridge between the internal (content) team and the external (logistic) team, to ensure processes are followed through, under the guidance of the Comms Coordinator. In particular:
    • Be responsible to establish and monitor the events’ retro-planning, with particular reference to the Call for Expression of Interest/Invitations processes, as well as planning for any other mass-mailing or web content updates related to events.
    • Draft Jotform questionnaires.
    • Send out mass-mailings.
    • Compile and keep up-to-date membership lists of our meetings and events;
    • Support the Communications Coordinator and the Web & IT Manager in ensuring contact lists are kept up to date.
    • Ensure events’ webpages are kept up-to-date (i.e. uploading of relevant events material in due time before and after the event);
    • Provide support on the day of the event if/as required;
  • Liaise with DG AGRI under the direct supervision of the Communications Coordinator;
  • Liaise with external stakeholders, including responding to queries related to events (through a dedicated functional mailbox).

Requirements - The ideal candidate will have the following qualifications:

Essential

  • Previous experience that demonstrates your organisational skills, not necessarily in a communications/events organisation context
  • High attention to detail and care for quality
  • Demonstrable organisational skills in a fast-paced environment
  • Good understanding of project processes and procedures
  • Ability to multitask and able to cope with tight deadlines
  • Good communication skills both orally and in writing.
  • Enjoy working as part of a team
  • Ease with administrative tasks or Find satisfaction in handling administrative tasks
  • Working knowledge of the Office 365 platform, in particular Excel
  • Working knowledge (C1 equivalent) of English

Desirable

  • Familiarity with mass mailing tools – Brevo or similar
  • Familiarity with survey software – Jotform or similar
  • Understanding of content workflow software – Gather Content or similar
  • An awareness of website updating would be useful (although no direct updating will be required)
  • Knowledge of a second EU language;

What we offer – This is a full time position, although some flexibility may be considered. We offer a 1 year contract, with possibility of extension into a permanent contract, and a remuneration package commensurate with your professional experience.
