Tasks and responsabilities

Assist the team in managing operational tasks (travels, events’ registrations, new employees onboarding, Dpt. changes, meeting’s organization, confidentiality agreements, contracts, collaboration with agencies, vendors and suppliers, administrative tasks, etc.).

Manage leadership team's agendas and collaboration to manage the agendas of the other team members, when required.

Budget follow up according to internal procedures.

Collaborate on forecasting, last estimate assumptions, and any other financial exercises required for budget management.

Manage payments of the area using internal tools.

Creation of Purchase Orders (PO) in the systems and approval tracking in due course.

Contact with suppliers, creation of new vendors, resolution of issues that may arise with system.

Monthly PO closings, accruals listing for controller.

Support the team in developing pricing maps and price changes notifications.

Support the team in developing the pricing and access competitive landscape and newsletters.

Control of annual calendar of department’s events, managing them specially from the logistical and administrative perspective, and collaborating on any other issues required.

CRM entry of all events generated with HCPs and collaborations with entities, where there is transfer of value.

Collect relevant information and documentation necessary to open the events, in contact with the agencies / staff involved in the events.

Signed contracts, invoices, miscellaneous expenses, proof of payment, etc.

Education

Administrative education or similar.

Specific knowledge

  • An excellent level of English and Spanish written and spoken is essential.
  • Advanced knowledge of MS Office (including PowerPoint and Excel).
  • Contract management background will be a plus.

Experience

  • More than 5 years of experience as a department Assistant.
  • Experience providing support at departmental level, and to several leaders withing complex environment.
  • Experience managing and follow up of previously approved budget.
  • Experience in Pharma Industry.
  • Experience managing VEEVA is nice to have.
