Position Description : Responsible for the execution of specific support activities and projects defined by the Operations team, mainly providing support to the marketing, digital and sales teams within the affiliate, but other functional areas too, including organization of events and internal meetings, contract management, interaction with third parties, creation and maintenance of purchase orders, vendor management and opex control, management of promotional materials and knowledge in Ethics&Compliance policies and procedures.
Functions, Duties, Tasks :
Purchase Order (PO) and Vendor Management :
- Act as point of contact for PO and Vendor Management for Iberia
- Ensure PO management process is in line with FRAP policy
- Support / educate Business Owners to comply with FRAP policy
- Ensure adequate and timely control of PO’s on a monthly basis and in particular on quarter and year-end closings
- Ensure timely and reliable PO report to Business Owners
- Preparation of monthly report of open PO’s for opex control by Business Owners
- Ensure monthly accruals to support the Finance team
Management of events and contracts :
- Provide support to the Events team for small internal meetings and technical trainings
- Management of signatures and filing of all commercial and marketing contracts using the appropriate contract tool
Management of promotional materials :
- Management of promotional materials lifecycle in PromoMats
- Management of materials at the promo materials warehouse, including shipments, recover materials after events, maintenance of materials database in the platform
Minimum Qualification (education, experience and / or training, required certifications) :
- Degree level either in life science or business.
- Fluent in Spanish and English
