We are looking for an Office Manager to help run day to day operations and marketing for our Digital Marketing Agency.
Who is Minty? Minty is a multi-award-winning Marketing Agency with clients based from Barcelona to Miami. We're a team of 15 based mainly in Barcelona but also in other locations around the globe.
Your responsibities will include :
- Provide support with general admin tasks the team require
- Responsible for team feedback sessions to help support them in their roles
- Organise and plan team trips
- Manage day-to-day admin tasks such as expenses,
- Help CEO organise both work and personal arrangements
- Supporting with hiring process
- Help us implement AI into our workflows to make jobs easier
- Report on team activity using our time tracking software
- Managing calendars and email inboxes for CEO
- Building out processes
- Uploading content to our CMS
- Assist in invoicing and expense tracking
- Auditing and monitoring costs within the agency to avoid wastage and optimise
- Preparing and sending sales agreements to new clients
- Organising onboarding and off boarding of clients
Additional tasks to support our marketing team with involve
- Managing our communities on Reddit
- Supporting with content creation for our communities on Reddit, Pintrest and more
- Helping with outreach emails to our prospects
- Following up and booking calls for new leads
- Supporting with the setup on lead generation campaigns (Training provided)
Requirements
To thrive in this role, we are looking for the following :
- You're fluent in both verbal and written English and Spanish (C2 level or native)
- Any experience in a Marketing Agency is a bonus
- Account or HR experience is a plus
- You have precise attention to detail.
- You can effectively multitask.
- You have a natural ability to organise and manage day-to-day administrative responsibilities.
- You can speak your mind and articulate points in a way that proves valuable and relevant to team discussions.
- You take pride in the quality of your work.
- You don't take critical feedback personally.
Experience with the following apps and tools is key :
- Google Workspace suites (docs, presentations and spreadsheets).
- CRM and Project Management tools (HubSpot, ClickUp, etc).
- Time-tracking tools such as Hubstaff
- Previous experience with WordPress (or a similar CMS) is highly valued.
