JOB PURPOSE

We are looking for a talented Executive & Administrative Assistant junior to help with the daily organization and ongoing operations of the company, giving support to all Management team as well as all group departments.

The ideal candidate shall be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure.

This person should be comfortable working with discretion, a high degree of attention to detail, as well as incorporating new and effective ways to achieve better results.

The candidate will provide support in implementing and optimizing procedures, maintaining calendars, scheduling appointments, and collaborating with other departments of all group companies.

DUTIES AND RESPONSIBILITIES

These are the main functions but can be modified and / or adjusted based on company needs.

Organize the office and assist associates in ways that optimize procedures :

  • Schedule and plan meetings and appointments.
  • Organization and travel management.
  • Give support on shows administrative organization.
  • Sort and distribute communications on time.
  • Create and update records ensuring accuracy and validity of information (legal documents register, IT Assets, IP registers, etc ), and inform related departments if necessary.
  • Resolve office-related malfunctions and respond to requests or issues.
  • Coordinate with other departments to ensure compliance with established policies.
  • Maintain trusting relationships with suppliers, customers and colleagues.
  • Administrative (accounts payable) and Corporate assistance (travel expenses control & projects hours report).
  • Purchases (office material, etc .).
  • Phone & Reception desk.

EDUCATION AND EXPERIENCE

  • Education in management assistance and / or in Administration (preferably). Degree or Bachelor.
  • Fluent English it’s mandatory. Native Spanish. Catalan will be a plus.
  • Proficient in Microsoft Office.
  • Experience in coordinating travel arrangements, expense reports, and event planning will be valuable.
  • Organizational and time-management skills with the ability to prioritize multiple tasks effectively.
  • Analytical abilities and problem-solving aptitudes.
  • Excellent written and verbal communication and interpersonal skills.
  • Preferably live in Terrassa or surrounding areas. On-site work.
